School management software should handle six jobs well: admissions, fees, attendance, exams and report cards, communication with parents, and staff records. Anything beyond that is optional. The cost depends on the number of students, the modules you choose, whether parents get a mobile app, and whether you buy a subscription or own the software.
The six core modules
| Module | What it should do | Why it matters |
|---|---|---|
| Admissions | Online enquiry and application, document upload, status tracking | Fewer lost enquiries in admission season |
| Fees | Fee structure per class, concessions, online payment, receipts, dues list | Fewer errors, faster collection |
| Attendance | Daily student attendance, alerts to parents for absence | Safety and accountability |
| Exams and report cards | Marks entry, grading rules, report cards in your board’s format | Saves days of work every term |
| Parent communication | Notices, circulars, homework, messages on app, SMS or WhatsApp | Parents stay informed without calls |
| Staff | Staff records, leave, timetable | One place for staff information |
Useful extras
- Transport: routes, stops and bus tracking.
- Library: book issue and returns.
- Hostel: rooms and mess.
- Inventory: books, uniforms and stores.
- Accounts link: send fee collections to your accounting software.
Add extras only if someone at the school will use them every week.
What drives the cost?
- Number of students and branches. Most products charge by student or by branch.
- Modules. Each extra module adds cost and setup time.
- Parent app. An Android and iPhone app costs more than a mobile-friendly website.
- Messaging. SMS and WhatsApp messages carry their own per-message charges.
- Data migration. Moving old student and fee records in takes time.
- Training. Staff need hands-on training, not just a manual.
- Ownership. A subscription is cheaper to start. Owned software costs more upfront but has no per-student fee.
Ask every vendor for a three-year total for your actual student count, including messaging.
Questions to ask any vendor
- Can we export all our data, any time, in a usable format?
- Does the report card match our board’s format exactly?
- What happens to our data if we stop paying?
- Who handles support during admissions and exam weeks?
- Where is student data stored, and who can see it?
- How are parents’ consents recorded, given India’s data protection law?
- Can you show it working at a school like ours?
Common mistakes
- Buying every module on day one, then using two.
- Skipping training, so teachers return to registers.
- Not cleaning old data before importing it.
- Starting in the middle of the exam season. Start at the beginning of the year.
A simple rollout plan
- Month 1: set up classes, students and fees. Train the office staff.
- Month 2: start attendance and parent notices. Train teachers.
- Month 3: first exam and report cards in the system.
- Later: add transport, library or other extras one at a time.
